When planning a Destination Wedding in historic Venues like Borgo di Gallano in the heart of Umbria, the breathtaking scenery often hides technical challenges that cannot be left to chance. Ancient stone walls, logistical elevation changes, and the demand for flawless Audio signal management require far more than a simple “Speaker Rental”.

In this edition of “The Control Room“, we dive into the heart of the Sound design for Bibi & Jan-Hein’s Wedding. From providing technical consultancy for Dutch Dj Krijn to proactively solving long-distance signal issues for the Electric Piano, this is how we translate a Couple’s vision into a “Zero-Stress” Acoustic experience.

1. Site Inspection: Precision in the Field

 

The Piazzetta in Borgo di Gallano where will be the Pizza Party on Friday, May 15th and the Dance Floor on the Wedding Day of Bibi and Jan-Hein, May 16th 2026.

 

On March 15th, 2026, I met the Couple, Bibi & Jan-Hein, along with the Wedding Planner, Dennis, and the Venue management at Borgo di Gallano. Being just 30 minutes from my base in Perugia (PG), this local expertise allowed for a detailed analysis of the Borgo’s unique layout.

Key Findings:

  • The Multi-Level Challenge: The Event transitions from the Walls (Ceremony) to the external and internal Courtyard (Aperitif/Dinner) and finally to the Piazzetta (Pizza Party & Dance Floor). Each move requires a synchronized “shadow setup” to ensure the Music never stops.
  • Signal Integrity: The Electric Piano for the Ceremony was positioned far from the Main Mixer. To avoid hums and signal loss, I identified the need for a Stereo DI Box (Mackie MDB-2P) to convert the signal to balanced XLR for a crystal-clear performance.
  • Power & Placement: We mapped every power outlet across the four zones to ensure cables remained hidden and safe for Guests. Back to Menu

 

2. The Technical Workflow: A Two-Day Sonic Journey

A successful wedding is a series of seamless transitions. Here is the technical roadmap for Bibi & Jan-Hein:

 

2.1 Friday, May 15th 2026: The Pizza Party

16:00 – 18:00: Setup and Sound Check of the Dj Set at the Piazzetta. Mauro.

A relaxed atmosphere for the first gathering. I provided full technical support for Dj Krijn, ensuring the “Pizza Party” had the rhythmic backdrop.

19:00 – 23:00: Dj Set for the Pizza Party at the Piazzetta. Dj Krijn.

23:00 – 01:00: Dismantling of the Dj Set at the Piazzetta. Mauro.

 

2.2 Saturday, May 16th: The Wedding Day

10:30 – 11:30: Setup and Sound Check of the Sound System at the Ceremony ⚪️. Mauro.

11:30 – 12:30: Setup and Sound Check of the Sound System at the Aperitivo 🟡. Mauro.

12:30 – 14:45: Setup and Sound Check of the Sound System at the Piazzetta for the Dance Floor 🟢. 1° Part. Mauro

15:00: Meeting with Celebrant and Groom to install and Voice Check the Lavalier Wireless Microphones at the Ceremony. Celebrant, Jan-Hein, Mauro

15:30: Guest Arrival at the Ceremony. While Guests take their seats, our System plays a curated Playlist via Tidal (Offline Mode) to set a sophisticated tone. Mauro

16:15: Speech by daughter and then Play the Song: Die with a Smile, Lady Gaga, Bruno Mars via Tidal (Offline Mode). Daughter, Technical Management by mauro.rent.

16:20: Speech of Groom via Lavalier Wireless Microphone. Jan-Hein.

16:30: Official Part and Rings.

16:40: Walk off to the Aperitivo with Sarà perchè ti amo, Ricchi e Poveri via Tidal (Offline Mode). Technical Management by mauro.rent.

16:45 – 18:45: Aperitivo 🟡. A smooth transition to the adjacent area with an harmonically balanced Playlist (ordered by Key and BPM) via Tidal (Offline Mode). Technical Management by mauro.rent.

 

 

17:00 – 18:00: Dismantling of the Sound System at the Ceremony ⚪️ and Setup and Sound Check of the Sound System at the Dinner 🔵. Mauro.

19:00 – 22:00: Wedding Dinner 🔵. No Music required for the Newlyweds’ Entrance. One Shure Wireless Microphone will be available for any potential Speeches. The following Playlist (ordered by Key and BPM) is ready for playback via Tidal (Offline Mode). Technical Management by mauro.rent.

 

 

20:00 – 21:30: Dismantling of the Sound System at the Aperitivo 🟡 and Setup of part the Sound System at the Dance Floor 🟢. 2° Part. Mauro.

22:00 – 02:00: Dj Set of Dj Krijn at the Piazzetta for the Dance Floor 🟢. The climax of the Night. An upgraded PA System with RCF Subwoofers and a bespoke Lighting Solution (Wireless Uplights & Dance Floor effects) transforms the reception area into a High-Energy Club. Mauro

22:00 – 23:00: Dismantling of the Sound System at the Dinner 🔵 and Setup of one Speaker at the Dance Floor 🟢 as Monitor for Dj Krijn. 3° Part. Mauro

3. The Technical Rider: Only the Best

To guarantee the mauro.rent quality standard, the equipment selection was focused on reliability and “Rider Compliance”:

  • Audio PA: A combination of RCF Art 912-A and 915-A Speakers for clarity and power.
  • Subwoofers: RCF Sub 705-AS MK3 to provide the deep, punchy bass required for an International Dj Set on both day.
  • Microphones: Shure BLX Dual Series (Lavalier for the Celebrant and Groom and Handheld for Speeches), ensuring every word was captured with studio-like warmth.
  • The Problem Solver: Mackie MDB-2P Stereo DI Box, allowing the Piano signal to travel over long distances without interference. Back to Menu

 

4. Playlist Management: The “Zero-Stress” Method

For the Wedding of Bibi & Jan-Hein, we utilized our advanced Tidal + Rekordbox Ecosystem.

  • Harmonic Mixing: We imported the Couple’s Spotify choices and re-organized them by Camelot Key (1B to 12B) and BPM.
  • Seamless Transitions: By testing a 12-second crossfade during the simulation phase, we ensured that the Aperitif felt like a continuous, cinematic soundtrack, avoiding any “digital silence.”
  • Safety First: All tracks were downloaded in High-Definition for Offline Playback, making the Event 100% independent of the Venue’s Wi-Fi stability. Back to Menu

 

5. Conclusion

The Wedding at Borgo di Gallano proves that Professional Audio is about prevention, not just performance. By combining a detailed site survey with high-end hardware and an organized digital workflow, we ensured that Bibi, Jan-Hein, and their 75 Guests could focus entirely on the Celebration.
